  • What does "check film" mean?
    If its showing "CHECK FILM" on the display screen, open up front and back cover of the fax machine,check the film, If its loose or there's slack, straighten the film, then close the back cover firmly, when you hear the humming sound on the machine close the front cover. In case you're using other brand film like Staples, Office Depot, etc. you may not be able to place the film in properly or may not print a good quality, its highly recommend to use Panasonic genuine film.
  • The blank or recording papers are not being fed in once I make a copy or print from my machine. What do I do to fix it?
    Paper feeding problems are easily fixed by removing the recording paper (blank papers) and reinsert it into the paper tray. Make sure that you place the recording paper into the proper paper tray slot.
  • My film keeps getting tangled up or keeps sticking why does it keep doing this?
    This usually happens if you are using after market brands or films made by another manufacturer. The wax contents for the Panasonic film and after market brands are different thus the film sticks to the machine and paper. If you are using genuine Panasonic films then the machine needs to be serviced.
  • Is it possible to set up the unit together with my voicemail service from the telephone company?
    For voicemail to work with the fax machine you will have to get distinctive ring service from your local phone company. This is normally sold with a package from your local phone company along with other features that you may already have. Distinctive ring is a feature that will give you a second phone number on your existing phone line with a separate ring pattern. This is an alternative to having a second line which is expensive and unnecessary. The fax machine has a ring pattern detection feature built in to it which can identify any of the possible ring patterns the phone company will give you. This is the only way it will work with voicemail without other devices.

    To activate this feature press the [MENU] button then the [#] [3] [1]. Then press the plus [+] or the minus [-] button until the display shows ON. Then press the [FAX START] button to save the setting. Then press [3] [2] and then press the [+] or the minus [-] button and select "B" which is the double short ring pattern or which ever pattern the phone company assigns to your distinctive ring number. And then press the [FAX START] button to save the setting then press [MENU] button to exit.
  • I am getting a Fax Memory Full error message. What do I do to fix it?
    This is a problem where the machine is unable to print out the received document and the data is stored into the machine's memory. It is generally resolved by pulling the out recording paper, fan them, reorient the paper (for frayed edges) and then reinstall. Putting in a fresh stack of papers would also help. Make sure that the number of pages does not exceed the paper tray capacity specified for the unit. Please check for other possible message which can help you solve the issue.
  • How long is the warranty for my fax machine?
    The warranty for the machine is 1 year, it starts from the date of purchase and ends exactly 1 year after.
  • How do I turn set the ring count of the built in answering machine for my fax machine?
    On the Base Unit:
    1. Press [MENU] [#] [0] [6] then [SET].
    2. Press the [+] or [-] repeatedly until you see the desired number of rings (Max is 4 rings).
    3. Press [SET] to save.
    4. Press [MENU] to exit.
  • How do I to set date and time?
    1. Press [MENU] [#] [0] [1]. You will see "SET DATE & TIME" press [SET] on the display
    2. The desired menu option will appear, press [SET]
    3. Enter the correct month/day/year by selecting 2 digits for each, using the dial keypad
      Example: August 10, 2002 - You Press [0] [8] [1] [0] [0] [2]
    4. Press [SET] to save
    5. Enter the correct hour/minute by selecting 2 digits for each, using the dial keypad. Press [*] to select "AM" or "PM"
      Example: 10:15PM - You Press [1] [0] [1] [5] and Press [*] until "PM" is displayed
    6. Press [SET] to save

  • How do I set up the answering machine built in to it?
    If you would like to set the machine to tam/fax mode, press [MENU] [#] [7] [7] on the machine, "AUTO ANSWER" will show up on the screen, To select tam/fax mode, press the up or down arrow button on the navigator then press [FAX START] button. press the [AUTO ANSWER] button until it shows "TAM/FAX" on the display.
  • How do I set up my machine for fax only?
    To receive a fax automatically, be sure that the [AUTO ANSWER] button is on. If the auto button is not on, press the [AUTO ANSWER] button repeatedly until the display shows "FAX MODE ONLY"

      To make corrections: Press [◄] or [►] to move the cursor to the incorrect character, and enter the correct character. You can also press [STOP] to delete the incorrect character left to the cursor
      Pressing [#] will change the character to upper-case or lower-case alternatively
    3. Press [SET] to save
    4. Press [MENU] to exit
  • How do I record my own personal greeting on my machine?
    To record your own greeting message:
    1. Press [RECORD] until the message "TAD GREETING" then "PRESS SET" is shown on the screen
    2. Press [SET]
    3. Upon hearing a long beep start recording your greeting message
    4. Speak clearly about 8 inches away from the unit
    5. When finished press [STOP]
  • How do I print a journal report?
    To print a journal report, press [MENU] repeatedly until it shows "PRINT REPORT" on the display.
    Then press [►] until it shows "JOURNAL REPORT" Then press the [FAX START] to print.
  • How do I lower the volume on my machine when someone is leaving a message?
    To turn off or lower down the volume when messages are being left. Just simply press the [MINUS] button on the base unit while a message is being left.
  • How do I install a new film (KX-FPG376,KX-FPG378,KX-FPG379,KX-FPG381,KX-FPG391)?
    1. Open the front cover
    2. Open the back cover by pressing the green button on the right side of the machine
    3. Make sure that there's no film on the white spool and all the film are on the blue spool before replacing it
    4. Remove the film out of the machine
    5. Take the new film out of the box. You should be using authentic Panasonic Film KX-FA92. Remove the stoppers and tags from the both ends of the film
    6. Install the film by inserting the blue spool in the front slot and the white spool at the back slot. The ends with the gears should be inserted at the slots on the left side of each compartment
    7. The blue spool should have at least one layer of film by winding it towards the direction of the white spool. Make sure there is no slack
    8. Close the back cover. You will hear a rolling sound once it is shut properly
    9. Close the front cover
  • How do I change the ring tone when receiving an outside call?
    No ring tone feature available for this model.
  • How do I change the number of rings for my machine?
    To program the distinctive ring patter first turn on the distinctive ring feature:
    1. Press [MENU].
    2. Press [#] [3] [1].
    3. Press [+] or [-] to select "ON".
    4. Press [SET].
    5. Press [MENU] to end.

    After this you need to program the ring pattern, to do this:
    1. Press [MENU].
    2. Press [#] [3] [2].
    3. Press [+] or [-] to select ring pattern B, C, or D.
    4. Press [SET].
    5. Press [MENU] to end programming .

    New calls will show on the display when new caller id information is received.

To erase the message new calls flashing on the display window, just keep pressing the [MENU] button until it shows "CALLER SETUP", and when "CALLER SETUP" is displayed,just press the [FAX START] button three times to erase it.
  • How can I view the caller information on my fax machine?
    To view new calls press the [CALLER ID] button then press either [+] or [-] button to display the caller id information. To erase the message "NEW CALLS" flashing on the display window, keep pressing the [MENU] button until it shows "CALLER SETUP", and when "CALLER SETUP" is displayed,press the [FAX START] button three times to erase it.
  • How can I set my machine to receive phone calls but not incoming faxes?
    if you would like to set the machine to "TEL MODE" press the [AUTO ANSWER] button until it says "TEL MODE" on the display and the red light button should not be lit.
  • How can I replace/install the film?
    To replace the film, open up the front as well as the back cover, remove the used film, pull out both white and blue rollers. On the new film, remove the stoppers and tags. Insert the white roller into the rear slot then the blue roller into the front slot, straighten the film by winding the side gears then close the back and the front cover firmly.
  • How can I register for the warranty of my product?
    You may register your products online by clicking here. It is not necessary to submit this form in order to effectuate the limited warranty. As long as there is a copy of the receipt, your product warranty begins from the date of purchase.

    If a message was deleted, you will no longer be able to retrieve the message from the memory.
  • How can I record my greeting message on the machine?
    If you would like to record your own greeting message, press the [RECORD] button repeatedly until the display shows "TAM GREETING". Press the [FAX START] button one time. Wait until you hear the beep and immediately record your greeting message. When you are finished recording, press the [FAX START] button again to end recording. Your recorded message will playback automatically.
  • How can I print a set up list for my machine?
    You can print the setup list by pressing the [MENU] button repeatedly until the display shows "PRINT REPORT". Press the arrow going to the right [►] until shows on the "SETUP LIST" on the display. Press [FAX START] button to print the set up list.
  • How can I make a copy using the fax machine?
    If you want to make a copy on the machine, insert the document into the front slot facedown until you hear a beep. Make sure you have paper loaded in the tray. Press [COPY] button then press [FAX START].
  • How can I install the paper tray into the machine?
    To install the paper tray, insert the tabs on the paper tray into the slots on the back of the unit.
  • How can I erase the old greeting message on the machine?
    If you would like to erase your greeting message, press the [ERASE] button repeatedly until it shows "TAM GREETING" then press the [FAX START] button three times until the display shows "ERASE COMPLETED".
  • How can I erase the incoming message on my machine?
    If you would like to erase a specific message, push the [ERASE] button while that message is being played. If you would like to erase all the received messages, Press the [ERASE] button once then press the [FAX START] button three times. This permanently erases all recorded messages.

    When the display shows "DOCUMENT JAM". Open the front cover by pulling up the center part. Remove the jammed document then close the cover.     If you would like to save or record a recorded message, you may want to use an audio recording device such as the ic recorder.

    To set the number of rings on your fax machine before it picks up, press [MENU] [#] [0] [6]. On the display it will show "FAX RING COUNT". Once the display shows "FAX RING COUNT" adjust the number of rings by pressing either the plus [+] or the minus [-] sign of the navigator key to the desired no. of rings.     If you would like to operate or access your messages remotely, just dial the fax number, enter your remote activation id, then follow the prompt.
  • Can I use the fax machine as a regular telephone to receive phone calls and calling out?
    The unit can also be use as a telephone, to call out or receive calls.
  • Can I use just the answering machine part of the product?
    The product doesn't have tam only option, cannot be set to answering machine mode only.
  • Can I connect the fax machine to a computer and use it as a printer?
    The machine cannot be hooked up to a computer to use it as a printer.
  • Can I connect my fax machine to my computer in order to be used as a printer?
    No. It can't be connected to your computer since the fax machine doesn't have USB or LAN connection and its not a multifunction unit.
  • Why there is no dialtone on my fax machine?
    If there's no dial tone on the fax machine, try removing any other devices and connect it directly into the wall jack. Be sure that the telephone line cord is securely connected into the Line port at the back of the fax machine and the wall jack. If the telephone line cord is connected properly and still there's no dial tone, you could try connecting a regular telephone to that same phone cord just to test. You may also try another telephone cord. If there still no dial tone, try moving to a known working jack. If there still no dial tone at a known working jack then it might be a service issue. You may call 1-800-211-7262 for further assistance.
  • Why it is showing on the screen "cover open" when the covers of the unit are closed?
    If the display shows "COVER OPEN" you will need to inspect the film. Open the front and back cover of the fax machine. Check the film status. If empty, replace the film. Otherwise remove any slack in the film and close the back cover first by pressing on the dotted areas. Close the front cover and check the display. If it still shows check film cover open, call 1-800-211-7262 for further assistance.
  • Why is there no power to the fax machine?
    Make sure that the power cord is connected. Also, try a different power outlet.

    When the display shows "PAPER JAM", remove all the blank sheets from the back of the machine. Open the front and rear covers and remove the jammed paper and inspect the film. Remove the slack from the film and close both covers. Re insert the recording paper at the back of the machine. Make a copy to test.
  • Why am I unable to send a fax?
    The telephone line cord may be connected to the [EXT] jack on the unit. Connect to the [LINE] jack.
    1. If you used a splitter/coupler to connect the unit, remove the splitter/coupler and connect the unit to the wall jack directly. If the unit operates properly, check the splitter/coupler.
    2. Disconnect the unit from the telephone line and connect a known working telephone. If the working telephone operates properly, contact our service personnel to have the unit repaired. If the working telephone does not operate properly, contact your telephone company.
    3. The power cord or telephone line cord is not connected. Check the connections.
    4. If you have connected the fax machine through a computer modem, connect the fax machine directly to a telephone line jack.
  • Why am I hearing a static noise/signal on my fax machine?
    if you encounter a problem with the phone line or if your not getting a dialtone, you can test the unit by relocating the machine into a different jack or line. Otherwise call the telephone provider to have it check.
  • Why am I hearing a beep sound on my fax machine?
    if you hear a slow beeps on the machine, either you have recorded messages in the unit or fax in the memory. Check for other possible error messages on the display screen. You can turn off the "MESSAGE ALERT" feature by pressing [MENU] [#] [4] [2]. Select OFF by pressing either the [+] or minus [-] button. If it says OFF, press the [FAX START] to save the setting then press [MENU]. To turn off the "RECEIVE ALERT" feature, press [MENU] [#] [4] [4], select OFF by pressing either [+] or minus [-] button. If it says OFF, press the [FAX START] to save the setting then press [MENU].

    NOTE: If there's no film on the white spool and all the film are on the blue spool you will need to install a new film (KX-FA92). If you just installed a new film, make sure that you purchased authentic Panasonic Film. If not, this will not be detected by the unit and you will keep on getting the "CHECK FILM" message.
  • What should I do if I have no dial tone on my fax machine?
    1. Check the power cord and telehpone line cord connections.
    2. Try a different telephone line cord. Problem may be with the phone cord.
    3. Unplug the fax machine and install a different portable phone on the wall jack where the product is currently plugged. If the portable phone has a dial tone then it's a problem with the machine. Please call the technical Helpline for options. If the portable phone doesn't have dial tone but is working on the other jack then there could be a problem with the jack where the machine is currently plugged in to.
    4. The telephone line cord may be connected to the [EXT] jack on the product instead of the [LINE] jack.
    5. If you have connected the fax machine through a computer modem, connect the fax machine directly to a telephone line jack.
    6. Relocate the product.
  • What kind of batteries can I use for my handset?
    One cordless handset uses two (2) Ni-MH (nickel metal hydride) type rechargeable AAA batteries. To order replacement battery, please use order No. HHR-4DPA and contact 1-800-332-5368 or click here. The Panasonic rechargeable AAA batteries are recommended for best cordless handset performance. Replace batteries only with a nickel metal hydride (Ni-MH) type of battery.
  • What is the maximum number of recipients I can fax a document to?
    You can send a fax to a maximum of 20 recipients once they have been programmed into the broadcast memory.
  • What does it mean by "fax memory full" on the display?
    If the display shows "FAX MEMORY FULL" when sending your fax, the Quick Scan Feature may be set to on. To turn the quick scan feature off, press the [MENU] [#] [3] [4] and then select "OFF" by pressing either [+] or [-] on the navigator then [FAX START] button. Press the [MENU] button to exit. Try sending your fax again.
  • What does it mean by "fax in memory" on the display?
    If the display shows"FAX MEMORY FULL" it's possible the document received exceeds the fax machine's memory capacity. The memory will need to be cleared and you will lose any received documents in memory. To clear the memory, remove the power cord for five seconds and reconnect it. Receiving large pictures or colored graphics can consume the memory.
  • What does communication error 68 mean?
    When you are receiving a fax and get an error message on the report saying "COMMUNICATION ERROR CODE 68" it means that there's a possible line problem on the receiving party.
  • What does communication error 43 mean?
    If the sending report or the journal report shows "COMMUNICATION ERROR 43" there could be a possible telephone line problem. Check if the phone line cord is connected securely in the back of the machine and the wall jack. If there's no problem with the connection, you can also try to send a fax to a different number. If it works sending to a different number, then it could be a problem on the other end. If you get the same error sending to all numbers then you may also try connecting the unit into a different wall jack or use a different telephone line cord for testing purposes.
