  • The documents that I faxed out or copy has a black lines on it. How do I fix it?
    The scanner glass may be dirty with debris such as "white out" or just plain dirt.
    1. Unplug the unit and locate the scanner glass
    2. Clean with dry cloth or if necessary, use a damped cloth with rubbing alcohol to help remove dirt
    3. Dry thoroughly before replugging the unit
  • My film keeps getting tangled up or keeps sticking why does it keep doing this?
    This usually happens if you are using after market brands or films made by another manufacturer. The wax contents for the Panasonic film and after market brands are different thus the film sticks to the machine and paper. If you are using genuine Panasonic films then the machine needs to be serviced.
  • Is it possible to set up the unit together with my voicemail service from the telephone company?
    For voicemail to work with the fax machine you will have to get distinctive ring service from your local phone company. This is normally sold with a package from your local phone company along with other features that you may already have. Distinctive ring is a feature that will give you a second phone number on your existing phone line with a separate ring pattern. This is an alternative to having a second line which is expensive and unnecessary. The fax machine has a ring pattern detection feature built in to it which can identify any of the possible ring patterns the phone company will give you. This is the only way it will work with voicemail without other devices.

    To activate this feature press the [MENU] button then the [#] [3] [1]. Then press the plus [+] or the minus [-] button until the display shows ON. Then press the [FAX START] button to save the setting. Then press [3] [2] and then press the [+] or the minus [-] button and select "B" which is the double short ring pattern or which ever pattern the phone company assigns to your distinctive ring number. And then press the [FAX START] button to save the setting then press [MENU] button to exit.
  • Is it possible to connect my fax machine to a computer?
    This unit is not design to be hooked up to a computer.
  • I'm getting Communication Errors while sending or receiving a fax, how do I resolve this issue?
    A communication error is a line problem. This can be either with your phone line or with the party that you are sending the fax to. Confirm with the other end if they are having problems. You can also send to another number to find out if the problem lies. Also if you are using a splitter remove it and plug the phone cord for the machine directly to the phone jack. If you have a DSL service try using a DSL filter.
  • How long is the warranty of my fax machine?
    The warranty for fax machines are good for six months from the date of purchase or date of delivery. See the limited warranty page on your operating manual for more information.
  • How long is the warranty for my fax machine?
    The warranty for the machine is 1 year, it starts from the date of purchase and ends exactly 1 year after.
  • How do I turn on my distinctive ring?
    1. Press [MENU] [#] [3] [1]. "DISTINCTIVE RING MODE" shows up on the screen.
    2. Press the plus sign [+] until ON shows up on the screen.
    3. Press the [SET] button.
    4. Press [MENU] to end programming.
  • How do I turn OFF/ ON a confirmation or sending report?
    1. Press the [MENU] [#] [0] [4]
    2. Press the plus [+] or minus sign [-] until Sending Report is equals to "ON" or "OFF" (Depending on the desired program)

  • How do I to set date and time?
    1. Press [MENU] [#] [0] [1]. You will see "SET DATE & TIME" press [SET] on the display

    3. Enter the correct month/day/year by selecting 2 digits for each, using the dial keypad
      Example: August 10, 2002 - You Press [0] [8] [1] [0] [0] [2]
    4. Press [SET] to save

  • How do I set up my machine to fax only?
    To set the machine to "FAX ONLY" mode, press the [RECEIVE MODE] button until it shows "FAX ONLY" on the display. If on the right hand side of the display you see two arrows pointing up and down on both Tel and Fax, you must turn off the "DISTINCTIVE RING" feature. To turn off the distinctive ring feature, press [MENU] [#] [3] [1], and "DISTINCTIVE RING" will show on the display. To select mode "OFF" press either the plus (+) or the minus (-) sign of the navigator key until the display says off. Then press [FAX START] button to save the setting. Press the [MENU] button to exit.
  • How do I set the ring pattern for my machine?
    1. Press [MENU] [#] [3] [2].
    2. Fax Ring Pattern shows up on the screen.
    3. Press the plus [+] or minus sign [-] to select the ring pattern assigned by your phone company.
      Note: There are 4 ring pattern: (A, B, C and D).
    4. Press the [SET] button.
    5. Press [MENU] to end.
  • How do I set the logo for my machine?
    1. Press [MENU] [#] [0] [2]
    2. "YOUR LOGO" will appear on the screen
    3. Press [START/SET] and "LOGO=" will appear on the screen
    4. Key in the LOGO desired up to 30 characters
      Note: Every key corresponds to a certain character.

  • How do I send a fax?
    1. Insert the document facing down on the feeder.
    2. You will hear a beep if the document has been positioned correctly.
    3. Once all pages are in the tray, dial the desired number.

    1. Open the front cover by pulling the center part of the machine towards you
    2. Press the green lever and lift up the back cover of the machine.
    3. Remove the jammed paper inside carefully.
    4. Close the back cover and front cover of the machine.
  • How do I remove a fax in memory? (For Film Models)
    1. Remove the recording paper at the back tray of the unit.
    2. Re insert the paper back at the paper tray.
    3. Press [SET] to print.
  • How do I put my fax number in the machine?
    1. Press [MENU] [#] [1] [0] [3] then [SET]. You will see "NO.=" on the screen
    2. Enter your fax number, up to 20 digits

      - To enter a "+", press [*]
      - To enter a space, press [#]

  • How do I print a sending report/confirmation report?

    To print a journal report, press [MENU] repeatedly until it shows "PRINT REPORT" on the display.

  • How do I install a new film (KX-FHD331,KX-FHD332,KX-FHD351)?
    1. Open the front cover.
    2. Open the back cover by pressing the green button on the right side of the machine.
    3. Make sure that there's no film on the white spool and all the film are on the blue spool before replacing it.
    4. Remove the film out of the machine.
    5. Take the new film out of the box. You should be using authentic Panasonic Film KX-FA93. Remove the stoppers and tags from the both ends of the film.
    6. Install the film by inserting the blue spool in the front slot and the white spool at the back slot. The gear on the blue spool should be at the left side of the machine.
    7. The blue spool should have at least one layer of film by winding it towards the direction of the white spool. Make sure there is no slack.
    8. Close the back cover. You will hear a rolling sound once it is shut properly.
    9. Close the front cover.
  • How do I erase the call list?
    1. Press [MENU] repeatedly until "Caller Setup" is displayed.
    2. Press [SET]
    3. "Caller List Erase" is displayed. Press [SET]
    4. "All Erase OK?" is displayed. Press [SET]
    5. "Erase Completed" is displayed
    6. Press [STOP] to exit the program.
  • How do I change the ring tone when receiving an outside call?
    No ring tone feature available for this model.
  • How do I change the dialing mode from pulse to tone?

    New calls will show on the display when new caller id information is received.
    To view "NEW CALLS" press the [CALLER ID] then press either plus [+] or minus [-] button to display the caller id information. To erase the message new calls flashing on the display window, just keep pressing the [MENU] button until it shows "CALLER SETUP", and when "CALLER SETUP" is displayed,just press the [FAX START] button three times to erase it.
  • How can I view the caller information on my fax machine?
    To view new calls press the [CALLER ID] button then press either [+] or [-] button to display the caller id information. To erase the message "NEW CALLS" flashing on the display window, keep pressing the [MENU] button until it shows "CALLER SETUP", and when "CALLER SETUP" is displayed,press the [FAX START] button three times to erase it.
  • How can I set up the product with an answering machine?
    The product does not have a built in answering machine. But if you wish to use an external answering machine on the same line, you can simply connect the external answering machine into the EXT port at the back of the fax machine, then setup the ring count on the fax mach to "5 EXT.TAM." by pressing [MENU] [#] [0] [6] then [SET], select "5 EXT.TAM." by pressing either the [▲] or [▼] arrow key on the navigator. Once you have setup the ring count on the fax machine, next thing to do is to set the ring count on the external answering machine to 4 rings or lower, lastly, be sure to set the receive mode to fax only "5 EXT.TAM."
  • How can I set my machine to receive phone calls but not incoming faxes?
    if you would like to set the machine to receive just phone calls, press the [RECEIVE MODE] button and set it to "TEL MODE". You can still receive faxes manually by pressing the [FAX START] button when you hear a fax sending signal.
  • How can I send a fax using my fax machine?
    To send a fax, you can do it automatically or manually. To send a fax automatically, insert the document face down until you hear a beep, dial the number then press the [FAX START] button. To send a fax manually, insert the document face down until you hear a beep, press monitor button then dial the fax number, wait for the fax tone then press [FAX START] button.
  • How can I send a fax using a calling card?
    • If you are having problem sending your fax long distance, verify that you have long distance service through your long distance service provider.
    • If sending a fax long distance using a calling card, first, dial the calling card no. ,and then wait for the prompt, if it asks to type in the fax number, press in [1] and the area code then the fax number, then, insert the document into the front slot and then press the [FAX START] button.
    • If you verify you have a long distance service and the fax still won't go through, try setting the overseas mode feature by pressing [MENU] [#] [2] [3]. Once overseas mode shows on the display, press the [FAX START] button, then press either the plus [+] or the minus [-] button to display Next fax. If it shows "NEXT FAX" on the display, press the [FAX START] button to save the setting. Right after setting the overseas mode, send your fax manually.

      --Note: overseas mode feature can only be use for a single transmission. It has to be re-program if another fax is to be sent.
  • How can I register for the warranty of my product?
    You may register your products online by clicking here. It is not necessary to submit this form in order to effectuate the limited warranty. As long as there is a copy of the receipt, your product warranty begins from the date of purchase.
  • How can I print a set up list for my machine?
    You can print the setup list by pressing the [MENU] button repeatedly until the display shows "PRINT REPORT". Press the arrow going to the right [►] until shows on the "SETUP LIST" on the display. Press [FAX START] button to print the set up list.
  • How can I make a copy using the fax machine?
    If you want to make a copy on the machine, insert the document into the front slot facedown until you hear a beep. Make sure you have paper loaded in the tray. Press [COPY] button then press [FAX START].
  • How can I erase the document jam error message on my machine?
    Open the front cover pulling upward where it says "Pull to open". Remove the jammed document. If it continually has document jam, clean the document feed roller with a lint free cloth damped with alcohol. Close the cover and try again.
  • How can I connect my fax machine to a home phone line with an answering machine on the same line?
    To ensure both your answering machine and fax work hand in hand to receive messages and faxes, they must be connected to each other. The telephone line port from the answering machine that is normally plugged into the wall jack should be connected into the EXT port of the fax machine. Then set your answering machine to pick up on the 4th or lower ring count and the fax to 5 EXT TAM.
  • How can I change the amount of rings on my fax machine?
    To set the number of rings on your fax machine before it picks up, press [MENU] [#] [0] [6]. On the display it will show "FAX RING COUNT". Once the display shows "FAX RING COUNT" adjust the number of rings by pressing either the plus [+] or the minus [-] sign of the navigator key to the desired no. of rings. Then press the [FAX START] button to save the setting. Then press [MENU] to exit.
  • Can I use the fax machine as a regular telephone to receive phone calls and calling out?
    The unit can also be use as a telephone, to call out or receive calls.
  • Can I use the fax machine as a printer?
    The unit can only print by means of copying, printing reports and receive faxes. This fax machine cannot be used as a computer printer.
  • Why there is no dialtone on my fax machine?
    If there's no dial tone on the fax machine, try removing any other devices and connect it directly into the wall jack. Be sure that the telephone line cord is securely connected into the Line port at the back of the fax machine and the wall jack. If the telephone line cord is connected properly and still there's no dial tone, you could try connecting a regular telephone to that same phone cord just to test. You may also try another telephone cord. If there still no dial tone, try moving to a known working jack. If there still no dial tone at a known working jack then it might be a service issue. You may call 1-800-211-7262 for further assistance.

    If the display shows "COVER OPEN" you will need to inspect the film. Open the front and back cover of the fax machine. Check the film status. If empty, replace the film. Otherwise remove any slack in the film and close the back cover first by pressing on the dotted areas. Close the front cover and check the display. If it still shows check film cover open, call 1-800-211-7262 for further assistance.
  • Why it is showing "check paper" on the screen?
    If the display shows "CHECK PAPER", remove the recording paper at the back of the machine. Fan the recording paper and re install the paper at the back of the machine. If the problem remains call 1-800-211-7262 for further assistance.

    Make sure that the power cord is connected. Also, try a different power outlet.
  • Why is there a black line on the copied document?

    It is in fax only mode, change the mode so it can be used for calls. To do this first,change the TEL mode by pressing [RECEIVE MODE]. Also,ifyou use a Distinctive Ring service, make sure you have set the same ring pattern assigned by the telephone company.

    This unit comes with a starter film roll (10 meters) that gives you about 20-25 pages of output. You can purchase films through Parts/Accessory. This unit uses KX-FA93 (70m) film.
  • Why do I have document jam message on the display?
    Open the front cover pulling upward where it says "Pull to open". Remove the jammed document. If it continually has document jam, clean the document feed roller with a lint free cloth damped with alcohol. Close the cover and try again.
  • Why do I have "paper jam" message on the screen?
    When the display shows "PAPER JAM", remove all the blank sheets from the back of the machine. Open the front and rear covers and remove the jammed paper and inspect the film. Remove the slack from the film and close both covers. Re insert the recording paper at the back of the machine. Make a copy to test.
  • Why am I unable to send a fax?
    The telephone line cord may be connected to the [EXT] jack on the unit. Connect to the [LINE] jack.
    1. If you used a splitter/coupler to connect the unit, remove the splitter/coupler and connect the unit to the wall jack directly. If the unit operates properly, check the splitter/coupler.
    2. Disconnect the unit from the telephone line and connect a known working telephone. If the working telephone operates properly, contact our service personnel to have the unit repaired. If the working telephone does not operate properly, contact your telephone company.
    3. The power cord or telephone line cord is not connected. Check the connections.
    4. If you have connected the fax machine through a computer modem, connect the fax machine directly to a telephone line jack.
  • Why am I hearing a beep sound on my fax machine?
    when you hear a beep sound on the unit, check the error message on the display screen, the unit usually beeps when there is a fax in memory. you can eliminate the beeping sound when you deactivate the "RECEIVE ALERT" . To do this, press [MENU] [#] [4] [4] on the machine"RECEIVE ALERT" will show on the screen then press [FAX START], to select OFF, just press the plus [+] or the minus [-] button on the navigator then press [FAX START] button. Press [MENU] to go back the date and time.

  • What should I do when the product displays "Check Film"?
    1. Open the front cover
    2. Open the back cover by pressing the green button on the right side of the machine
    3. If there is still film inside the unit, wind the film a little and make sure there is no slack
    4. Close the back cover. You will hear a rolling sound once it is shut properly
    5. Close the front cover
    NOTE: If there's no film on the white spool and all the film are on the blue spool you will need to install a new film (KX-FA92). If you just installed a new film, make sure that you purchased authentic Panasonic Film. If not, this will not be detected by the unit and you will keep on getting the "CHECK FILM" message.
  • What should I do if I have no dial tone on my fax machine?
    1. Check the power cord and telehpone line cord connections.
    2. Try a different telephone line cord. Problem may be with the phone cord.
    3. Unplug the fax machine and install a different portable phone on the wall jack where the product is currently plugged. If the portable phone has a dial tone then it's a problem with the machine. Please call the technical Helpline for options. If the portable phone doesn't have dial tone but is working on the other jack then there could be a problem with the jack where the machine is currently plugged in to.
    4. The telephone line cord may be connected to the [EXT] jack on the product instead of the [LINE] jack.
    5. If you have connected the fax machine through a computer modem, connect the fax machine directly to a telephone line jack.
    6. Relocate the product.
  • What does it mean by "new calls" on the screen?
    New calls will show on the display when new caller id information is received.
    To view "new calls" press the caller id search button then press either [+] or [-] button to display the caller id information. To erase the message new calls flashing on the display window, just keep pressing the menu button until it shows "CALLER SETUP"
  • What does it mean by "fax memory full" on the display?
    If the display shows "FAX MEMORY FULL" when sending your fax, the Quick Scan Feature may be set to on. To turn the quick scan feature off, press the [MENU] [#] [3] [4] and then select "OFF" by pressing either [+] or [-] on the navigator then [FAX START] button. Press the [MENU] button to exit. Try sending your fax again.
  • What does it mean by "fax in memory/check film/cover open" on the display?
    If the display shows check film/cover open you will need to inspect the film. Open the front and back cover of the fax machine. Check the film status. If empty, replace the film. If it works sending to a different number, then it could be a problem on the other end. If you get the same error sending to all numbers then you may also try connecting the unit into a different wall jack or use a different telephone line cord for testing purposes.

    3. Clean the document feeder roller and the rubber flap using a soft cloth moistened with isopropyl alcohol
    4. Let it dry thoroughly
    5. Plug the power cord and telephone line cord back
